Bookings Policy
- Bookings will open on the 1st February at 12:01am, of the year of the event and close at 12:01am, two (2) weeks before the event.
- All applications are subject to review. The State Alpine Team reserves the right to reject any application.
- Applications and event bookings are not transferable.
ScoutSki
- ScoutSki is open to the Scout section only. Youth aged 11yrs to 15yrs who are registered in the Scout section at the time of the event, or at the discretion of the State Leader – Alpine.
- Groups may not have more than 6 youth attend. Youth attending from one group will be allocated a spot by a first in first served basis. Any additional youth from that group will go on the waiting list.
- Youth are able to attend ScoutSki without their leaders attending.
- Leaders or Rovers are invited to submit an expression of interest to attend ScoutSki, due to the limited places available, these will be assessed on a case-by-case basis. Further information and the EOI form can be found on the ScoutSki page on our website.
- Venturers and invited Senior Scouts* are to submit an expression of interest to attend ScoutSki as a Mentor, they need to have relevant alpine skills and experience, be working towards Alpine OAS 5 or above and need to be available to attend the training weekend in the green season. Due to the limited places available, these will be assessed on a case-by-case basis and spots offered on the recommendations of State Leader – Alpine.
*Senior Scouts who have attending 2 ScoutSki’s and have completed OAS 4 in two alpine disciplines.
Iglute
- Iglute is open to the Venturer section, and any linking Scouts that the Unit’s leader is happy to have attend.
- Youth attend Iglute as a unit with a Unit Leader (as per any other state run event) or many be hosted by another unit.
- The Alpine Team has established an ‘Icy Orphans’ patrol, for those venturers unable to find another Unit to host them and in the event that their home unit does not attend.
This is a small number of youth and these spots are on a first in first served basis and at the discretion of State Leader – Alpine. - Attendance at Iglute is dependent upon the members own private transport The Alpine Team will provide no transport.
- Drivers should be either Leaders or parent helpers with sufficient on-snow experience for driving
- All personal vehicles need to be covered by comprehensive insurance and comply with all road rules, including carry wheel chains.
- All participants, both youth and adult must take part in a gear and equipment for review by The Alpine Team on Friday evening of the event.
Cancelation and Refund Policy
- If after making an application, you are unable to attend an event, you must advise the State Alpine Team – Scouts Victoria in writing as soon as possible.
- Any cancellation or withdrawal from an event on medical grounds will be at the discretion of the State Leader – Alpine and may require a medical certificate. Should this occur, a full refund will be provided.
- This cancelation policy does not apply to international trips.
- The State Leader - Alpine reserves the right to determine all refunds on a case by case basis.
- All refund requests should be sent to alpine@scoutsvictoria.com.au as soon as possible.
- All refunds will be issued within four as soon as possible after the event.
- For the avoidance of doubt, any Government requirement placed upon the applicant to attend the Event, which is not met by the applicant, is considered to be a withdrawal for personal reasons, and no refund will be made. Reasonableness of any Government requirement is not a matter for either Scouts Victoria or Scouts Australia to consider.
ScoutSki
- If advised in writing of the withdrawal of the event before the second payment is due, a refund will be issued, less a 10% administration fee.
- If advised after the date of second payment, no refund will be issued except in exceptional circumstances, at the sole discretion of the State Leader – Alpine.
All other State Alpine Team – Scouts Victoria events
- If a cancellation is advised in writing at least 14 days (2 weeks) prior to the main activity's commencement date (excluding briefing nights) and received by 7:00 PM, a full refund will be issued, less a 10% administration fee.
- No refund will be provided for cancellations made after 7:00 PM within 14 days (2 weeks) of the main activity's commencement date, except in exceptional circumstances at the sole discretion of the State Leader – Alpine.
- No refund will be issued for failure to attend the commencement of the event or for withdrawal during the event, including cases of evacuation due to illness or injury.
